Position: CUSTOMER SERVICE REPRESENTATIVE

DIVISION : CUSTOMER SUPPORT

POSITION SUMMARY

The position is responsible for handling the customer’s order, supporting the salesforces, dealing with the incoming calls/walk-in customers and coordinating with the relating divisions, such as Supply Chain, Manufacturing, Finance & Accounting, so that the whole processes from orders to delivery are effectively and orderly implemented resulting in the overall customer satisfaction. In addition, coordinate with salesforce to keep track with the customer payment performance.

    • Ensuring an accuracy and efficiency on all orders entry into the ERP system.
    • Coordinating with the relating divisions (planning, invoicing and delivery section) to have goods available for shipment/delivery to the customers as per agreed date.
    • Prepare all required documents from goods ordering to shipping/delivering for customers and related parties.
    • Informing all the problems of undelivered orders due to stockout/machine breakdown/capacity shortage to the sales management team so that the problems could be handled promptly and earlier before dateline of delivery schedules
    • Informing all the customer complaints to the sales management team and other related functions.
    • Creating and maintaining a good relationship with customers.
    • Keeping records of customer payment, account receivable and past dues and informing all concerns.
    • Guaranteeing implementation of company policies and sales systems/procedures.

DUTIES AND REPSONSIBLITIES :

Export sales :

    1. To receive customer orders and enter the order requisition form in the provided program.
    2. To coordinate and work with planning functions to make the goods available in time with the required delivery schedule.
    3. To coordinate with customers and forwarders for vessel schedule booking and prepare documents and forms (Loading details, Customs Invoice and Proforma Packing list, etc.) to our shipping agent.
    4. To examine and inspect export and shipping documents, ensuring 100% correctness.
    5. To review paperwork and documents to ensure shipping, handling, storage charges, and customs fees are billed correctly.
    6. To handle customer complaints coordinating with relating functions.
    7. To follow the company’s standard operating procedures
    8. To submit assigned report promptly and on a regular basis.
    9. To work on other task as assigned.

MINIMUM REQUIREMENTS :

    • Bachelor degree from any fields.
    • Good verbal and written communication skills.
    • Working level of English proficiency on both writing and speaking.
    • Good personality and possess service-mind
    • Attention to details and highly responsible. Willing to work extra hours.
    • Good MS program proficiency
    • Good Knowledge of shipping regulations and policies
    • Experience in import/export business is preferable
